BetterReceptionist ("we", "us") provides AI voice agent software that answers calls, books appointments, and follows up with customers on behalf of businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

• Account & contact info — name, business name, email, phone number you provide when booking a demo or creating an account.
• Call data — audio recordings, transcripts, caller phone numbers, and metadata generated when our AI agent handles a call on your behalf.
• Usage data — log data, device information, and analytics about how you interact with our website and dashboard.
• Integration data — information shared from connected calendars, CRMs, or scheduling tools you authorize.

• To provide, operate, and improve the BetterReceptionist service.
• To train and tune AI models for your account, scoped to your business.
• To send service updates, security alerts, and (with your consent) marketing communications.
• To meet legal, security, and compliance obligations.

We do not sell personal information. We share data with vetted processors (cloud hosting, telephony, transcription, email delivery) under contract, only as needed to deliver the service. We may disclose information when required by law or to protect the rights and safety of users and the public.

Call recordings and transcripts are retained for the period you configure in your account (default: 90 days). Account data is kept while your account is active and for a reasonable period afterward to meet legal and audit obligations.

• Access, export, or delete your account data at any time.
• Opt out of marketing emails using the unsubscribe link or by contacting us.
• Configure call recording, retention, and consent prompts per jurisdiction.

We use industry-standard safeguards including TLS in transit, encryption at rest, role-based access controls, and audit logging. No system is perfectly secure; we will notify affected users in the event of a qualifying breach as required by law.

BetterReceptionist is not directed to children under 16, and we do not knowingly collect personal information from them.

We may update this policy from time to time. Material changes will be communicated via email or an in-product notice.
